Transport and quotations

How should I choose between sea, rail, road and air freight from China to Europe?

Start with the cargo-ready date and the latest acceptable delivery date, then compare door-to-door time and total cost rather than only the main sea, rail or air leg. Sea freight can be compared for planned replenishment with a flexible deadline; rail and road options can be assessed for tighter replenishment windows. Very urgent cargo may justify air freight, subject to cargo acceptance, capacity and final delivery arrangements. Use the same pickup address, delivery postcode, cargo details and scope for every comparison. If expediting the whole shipment is too costly, assess sending the critical quantity first and the balance later.

What is included in a China-to-Europe door-to-door freight quote?

Door-to-door describes the transport endpoints; it does not automatically include every tax, unloading service or exceptional charge. Check whether the quote includes pickup in China, export handling, international transport, destination handling, customs brokerage, duties and taxes, and final delivery. Confirm whether insurance, storage, inspection-related handling, waiting and redelivery are charged separately. Compare currency, charging units, cargo details and validity dates. The written scope of the quotation matters more than labels such as all-inclusive or door delivery.

What information is needed for an accurate China-to-Europe shipping quote?

Provide the product name and use, package count and type, packed dimensions and gross weight of each package, stackability, pickup address in China, delivery address and postcode in Europe, cargo-ready date and latest required delivery date. Declare batteries, liquids and other special characteristics, and state whether customs clearance, insurance, storage or a warehouse appointment is needed. For full containers, include container type and loading conditions; for machinery, add photographs and dimensional drawings. Total weight or volume can support an initial discussion, but changes to dimensions, addresses or cargo characteristics may require a new quotation.

Why can door-to-door costs stay unchanged when ocean freight rates fall?

Ocean freight is only one component of shipment cost. Pickup in China, port handling, inland transport in Europe, customs brokerage and storage may use different charging methods and change at different times. A lower ocean rate does not mean every other charge falls. Compare the same shipping period, ports, final destination, container type or cargo quantity and service scope. Check surcharges, free-time allowances and exclusions. Freight indices provide market context but do not replace a valid quotation for a specific shipment.

Consolidation and customs

Can goods from several Chinese suppliers be consolidated into one shipment to Europe?

Consolidation can be assessed, but combining shipments depends on each supplier's readiness, cargo characteristics, packaging, documents and delivery arrangements. First collect factory addresses and packing details, then plan receipt and checking at a consolidation warehouse and compare LCL or full-container options for the combined volume. If some goods will be ready later, compare waiting and storage costs with split-shipment costs. Consolidation does not remove the need for accurate declarations for each shipment: packing lists, invoices and other required documents must match the actual cargo and declaration arrangements.

What documents are usually needed for EU import clearance for goods shipped from China?

Usually prepare a commercial invoice, packing list, transport information, accurate product descriptions, intended use and classification information, and confirm the importer and customs representative. Check EORI registration for the parties' actual customs roles and the applicable tax information. EORI and VAT numbers serve different purposes and are not interchangeable. Some products also require permits, origin evidence or product-compliance documents. The destination customs representative should confirm the checklist for the goods and import procedure. Document review can identify omissions but cannot guarantee no inspection or a fixed release time. This answer concerns the EU, not non-EU destinations such as the UK or Switzerland.

What is the difference between DAP, DDP and door-to-door shipping?

DAP and DDP are Incoterms® 2020 trade rules; door-to-door describes a transport service's scope. Under DAP, the buyer normally handles import clearance and import duties and taxes; under DDP, these obligations normally fall to the seller. Under both rules, delivery at the agreed destination is normally on the arriving vehicle, ready for unloading, rather than unloaded by the seller. Specify the precise delivery point and confirm the importer, local feasibility and freight quote's scope. Choosing DDP does not itself establish the seller's eligibility to complete import formalities in the destination country.

Delivery and cargo

Why is terminal arrival in Europe not the same as warehouse delivery?

Arrival at a European port or rail terminal is a transport milestone, not confirmation that the goods are released and ready for delivery. Unloading or deconsolidation, release authorisation, import clearance or transit formalities, and vehicle and warehouse bookings may still be needed. Confirm the current milestone, missing documents, collection availability, free-storage deadline and receiving window for the actual shipment. Do not treat the estimated terminal arrival date as the delivery date. For time-sensitive cargo, check warehouse opening hours and unloading conditions in advance so that delivery can be arranged when the goods become available.

What should I check before delivery to an Amazon warehouse, commercial warehouse or construction site in Europe?

Each delivery location has different requirements. For Amazon and other fulfilment centres, check the current warehouse and shipment requirements for appointments, labels, pallets and handover documents. For commercial warehouses, confirm the address, opening hours, appointment and unloading equipment. Construction sites also require checks on vehicle access, ground conditions, lifting or forklift arrangements and the on-site contact. Do not assume the receiver can unload. Tail-lift vehicles, cranes, waiting time or redelivery should be discussed before booking and their charges confirmed in writing.

What extra information is needed to assess machinery or battery-powered products for shipping to Europe?

For machinery, provide packed dimensions, individual weight, centre-of-gravity or lifting-point details, stackability and loading and unloading conditions. For battery-powered products, specify battery type, whether installed or packed separately, the condition of the product and battery, and available test or safety documentation. Labels such as battery-powered or machinery do not establish acceptance for a transport mode. Acceptance depends on classification, carrier, route and applicable rules. Supply product descriptions, photographs and available documents first, then confirm additional documentation and suitable transport options. Carriage should not be promised before acceptance review is complete.
